Information for Exhibitors


We are planning for over 1300 participants at the 25th Biennial Conference on Chemical Education (BCCE) to be held at the University of Notre Dame in South Bend, 29 July - 2 August 2018.

The BCCE is an official meeting of the Division of Chemical Education of the American Chemical Society. It draws the most proactive educators responsible for purchasing products and services for their K-college chemistry classrooms and labs. The exhibition will provide your company with an opportunity to display your products to a group that is interested in improving their teaching of chemistry and providing effective learning opportunities for their students.

Exhibitors are an important part of the Biennial Conference on Chemical Education. We invite you to have a booth at the 25th BCCE. The exhibits will be located in the Ballroom of the Duncan Student Center of the Campus Crossroads project surrounding the Notre Dame Stadium.

The Exhibitors will be right up-close and personal with the BCCE participants as we are planning events and activities to draw participants into the exhibit hall. For example, beverages and refreshments for exhibitors and conference participants will be available in the lounges next to the exhibition space in the Duncan Student Center during the morning and afternoon break periods. Our opening reception will also take place in the Exhibition spaces. Monday evening, there will be a Sci-Mix style poster session in Duncan Hall with food and our traditional Ice Cream Social to draw all of the participants into the Exhibition Hall.

We can provide space for 60 booths for exhibitors. There will be a mix of 8'x8' and 8'x10' booth spaces .Each booth will come with a basic set of materials: piping with draping, a 6' long table, two chairs, a sign, a waste paper basket, and access to 120V electrical for each booth. Wireless internet access will be available at no charge throughout the ND campus. Flooring materials will consist of carpeting in the Student Center. Exhibitors needing additional items or materials other than those provided with the basic booth will need to contract with our exhibit vendor for those items at an additional expense.

In addition, each booth fee will provide two 25th BCCE exhibitor's registration badges and program books/packets for employees of the exhibitor working at the booth. Additional exhibitor badges may be purchased for $200. Exhibitors are encouraged to attend plenary sessions, paper presentations, tours, and the posters sessions as their schedule permits.

Exhibitors may present one paper or poster or workshop (the workshop may be repeated once). [PLEASE NOTE: The deadline for workshop and abstract submissions for the 2018 BCCE has passed; we are unable to accept late additions at this time]. However, please note that if an exhibitor is presenting more than one paper or a poster, he or she must register as a regular participant. You may have registered BCCE participants working in the booth.

There are several casual spaces near each planned exhibit space. In addition, exhibitors wishing to conduct focus groups or other meetings can reserve appropriate spaces for moderate cost (companies who also wish to be a corporate sponsor of the BCCE will receive meeting room space as part of the sponsorship -- see the sponsor pages for additional details).

Booth space will be assigned on a priority basis by date of receipt by the BCCE Conference Office of a contract and full payment. Assignment of booth space is done at the discretion of the BCCE Exhibits Chair and the BCCE General Chair.

Although your company's (or institution's) name will be listed in the Program Book and on the BCCE website, we encourage you to advertise in the Pocket Guide. The pocket guide page dimensions are 4"x9" with a 0.5" margin. The fees for a 1/2-page ad in the pocket guide is $300, a full-page ad is $500 and an inside cover is $750.

Exhibitors are encouraged to make reservations for rooms well in advance of the 25th BCCE. See the link to "Off-Campus Accommodations" in the menu for more details. Parking will be available in lots south of the Notre Dame Stadium/Joyce Center complex -- detail will be forthcoming.

Shipping Booth Equipment and Materials to ND for the BCCE

Shipping to Campus:

All items must arrive to campus by Wednesday July 25. When shipping items to campus for the Exhibits use the address listed below:

Items will be transported to the Exhibit and Poster Session Ballroom on Sunday July 29 for set-up.

Shipping from Campus:

All items must be packaged and have pre-printed labeled by Tuesday July 31 at 5:00pm ready to go. There will be a designated area to leave your items so they can be shipped out. All items must be shipped through FedEx or UPS.

It is your responsibility to call FedEx or UPS to arrange for a pick-up. FedEx or UPS should be scheduled to pick-up on Wednesday August 1st between 8am – 5pm.

Exhibit Hours

Exhibitors will be able to set-up their booths from 12 pm until 7 pm on Sunday, 29 July 2018.

Based on exhibitor feedback from the past couple of BCCEs, the exhibit hours will be:

Sunday - 7:00 - 10:00 pm

Monday - 11:00 am - 2:00 pm; 4:00 pm - 9:00 pm

Tuesday - 11:00 am - 2:00 pm

The exhibit facility will locked at night and there will be security guards partrolling in the building all night.

Exhibitors can take down their booths from 2:00 pm until 5:00 pm on Tuesday. Carts and a team of students will be available to help you load your equipment and materials and to help you get the materials to your van or car. Student helpers will not un-pack or pack equipment, nor will they set-up or take down your booth.


Cancellations in writing will be allowed up to 28 March 2018 with a $50 cancellation fee. For cancellations postmarked after that date but before 4 May 2018, a fee of $150 per booth space will be assessed. After 4 May 2018, no booth fees will be refunded

If booth space is not occupied four hours prior to the exhibit opening, management shall have the right to use the space as it sees fit. No refund will be made in this case.

Exhibitors who wish to schedule group dinners would be wise to set those up for TUESDAY evening -- in essence an open evening for participants to explore South Bend. Contact the General Chair for suggestions and assistance in putting together your events.
